1. Meeting Summary
I spoke with Lisa about an immediate workaround for interview transcription and a longer-term path to formalize meeting transcription capability through Microsoft Copilot or a similar approved solution. In the short term, I offered a practical process using a phone-based voice recording app and my existing transcription tool so she can capture candidate interviews without having to take manual notes in real time. I also told her I would work with IT and Shawn to pursue a more scalable, approved solution, including reviewing her Copilot licensing and the meeting recording/transcription feature set. The privacy and approval constraints appear to be driven largely by HQ and Germany-based concerns, not by a technical limitation on our side.
We also discussed Paycor access and reporting. I asked Lisa about getting direct access to pull basic staffing roster data for compliance and fleet-related tracking rather than continuing to route requests through HR. She was supportive of giving me reporting rights, subject to checking with Kate and likely confirming with Amity. That would help reduce administrative burden on the HR team and let me keep compliance data current without depending on ad hoc report requests.
Finally, we touched on the HCM evaluation. Lisa shared concerns about UKG's implementation timeline, particularly the possibility that they may not commit to a July or August go-live and may need 4 to 5 months. I told her my instinct is to favor the platform we know, especially where she has direct operating experience, rather than relying too heavily on vendor promises. Paylocity continues to look strong, especially on reporting, payroll backup capability, Canada support, and the longer-term possibility of supporting shared services across companies.
2. Attendee List
- Scott Warner
- Lisa Law
3. Action Items
- [Lisa] Use a phone-based recording app for today's interviews and capture the conversations via speakerphone.
- [Lisa] Download and test the Voice Recorder app before her interviews.
- [Lisa] Send recorded interview files to me for transcription support.
- [Scott] Run Lisa's interview audio files through my transcription tool and return transcripts to her.
- [Scott] Work with IT and Shawn to evaluate getting Lisa the appropriate Copilot license and, if possible, access to approved recording/transcription functionality.
- [Lisa] Speak with Kate about Paycor reporting access and what permissions would be required for me to run staffing reports directly.
- [Lisa] Potentially confirm Paycor access approach with Amity before granting rights.
- [Scott] Let Lisa know if there are any specific data fields or report structure requirements beyond the roster elements discussed.
- [Lisa] Follow up with Chris regarding whether Brent came onsite and whether there was any progress on the potential role discussion.
- [Scott] Reconnect with Lisa later if needed to walk her through sending the recordings.
- [Scott] Attend the later HCM discussion and continue evaluating Paylocity versus UKG based on implementation risk and functional fit.
4. Relevant Timelines
- Today at noon - Lisa has an interview and plans to record it using the interim process.
- Today at 2:00 PM - Lisa has a second interview and plans to record it as well.
- This morning - Lisa plans to test the recording app during a call with Kate.
- Before 10:00 AM today - I was available to do a quick test call with Lisa if needed.
- This afternoon - Follow-up HCM discussion with Jess regarding implementation timing and platform evaluation.
- July/August implementation window - Lisa indicated UKG may not be comfortable committing to this timeframe.
- 4 to 5 months implementation lead time - Lisa said UKG typically prefers this timeline to reduce implementation risk.
- Potential Q4 go-live - Lisa noted this would be less desirable due to benefits renewal and open enrollment workload.
5. Additional Notes
- The immediate transcription workaround is workable, but it is manual and not ideal. It solves the near-term need for recruitment interviews, especially with Lisa's interview volume over the next few days.
- I made clear that the bigger issue is not whether the technology exists, but getting the right approvals and feature access enabled through our enterprise environment.
- Lisa sees transcription as a useful recruiting tool as Shiloh takes on more recruitment activity.
- On recording legality, I noted Indiana is a one-party consent state, but I left the legal and ethical decision-making to her judgment based on context and company expectations.
- Direct Paycor reporting access would improve responsiveness for compliance, delegation of authority tracking, and fleet driver management.
- Lisa remains frustrated with Paycor reporting and is looking forward to moving to a new HCM platform with better reporting capability.
- My view remains that operator familiarity matters. I am more comfortable with a system Lisa has used extensively than with a vendor-led promise set that may not fully materialize after purchase.
- Paylocity appears especially attractive due to reporting, payroll coverage depth, cross-border support for Canada and the US, and the possibility of eventually supporting shared services across multiple companies.
- One unresolved item is whether Brent actually wants the role being discussed. I noted that I do not want him stepping into something just to have a job if it is not a real fit.
