1. Meeting Summary
I met with Vera to review the latest iteration of the internal meeting transcription and summarization tool she has been building and to provide user feedback based on my recent usage. Overall, the interface is materially improved from last week's version, especially the cleaner landing page and the drag-and-drop upload workflow, which makes handling multiple files much easier.
A key issue we diagnosed was that some visual inconsistencies on my side were caused by my system being in light mode while the tool had effectively been designed around dark mode. Once I switched to dark mode, the interface rendered as intended. I confirmed that I am comfortable staying in dark mode, and Vera said she would clean up the light-mode behavior later.
We also spent time on the underlying workflow for transcript processing. Vera walked me through the current sequence: file conversion, transcription with speaker separation, summary generation, and then transcript cleanup. We discussed the tradeoff between speed and quality, particularly around whether the summary should be generated only after speaker names are assigned and transcript cleanup is completed. I was clear that I would prefer the more natural output, even if it requires one extra user step. For my use case, I would not want a summary generated before speaker names are reviewed anyway.
We aligned that the most valuable output is a summary written in natural language using real names rather than speaker labels or awkward AI-formatted references. I shared an example from a recent onboarding session where I used AI to convert a transcript into work instructions, and that reinforced the value of having readable, reusable output that can support SOPs, follow-up emails, and process documentation.
We also discussed sensitivity around recording meetings. I noted that while I am comfortable recording routine business meetings for operational purposes, I would want transparency in 1x1 settings and would be more cautious where personal topics may arise. Vera confirmed she has prompt logic intended to exclude personal content from summaries, but the raw transcript may still capture it. She plans to verify how consistently that filter is working and confirm file deletion behavior on the server side.
On performance, I noted that the current version feels slower than the prior one, especially on larger uploads. I shared that two one-hour afternoon sessions took roughly 30 minutes to process. Vera suspects some of that delay is tied to the model selection used during the transcript cleanup phase and plans to test using a faster model for cleanup while reserving the more advanced model for the summary itself.
Vera also showed me a separate tool she built for legal invoice review. It extracts invoice data, matter information, and time entries into a structured database. The concept is strong and immediately made me think about similar use cases in my own areas, particularly utilities invoice extraction and recurring reporting tasks where manual copy-paste work is still consuming time.

5. Additional Notes
- The drag-and-drop upload capability is a meaningful usability improvement and will save time in day-to-day use.

- The most important product decision from my standpoint is favoring natural, name-based summaries over faster but less polished output.
- The transcript-to-document workflow has broader operational value beyond meeting notes. I see clear application for SOP creation, onboarding materials, process instructions, and consolidated pre-read summaries across multiple meetings.
- Vera mentioned rerun options now exist for individual steps such as audio, transcription, and summary generation, along with logs that show processing status. That should help troubleshooting.
- The separate legal invoice parsing tool was impressive and highlighted adjacent automation opportunities in operations, especially for recurring invoice and utility data extraction.
- I mentioned I am trying to protect time more deliberately by blocking focus time on my calendar so I do not keep working reactively into the evenings.
